Frequently Asked Questions about the Renewal and Cancellation Policies

What is the renewal policy for personal training services?

Upon reaching the last quarter of your personal training package, the same package will renew automatically after the 3rd session of a 4-pack, the 6th session of an 8-pack, or the 9th session of a 12-pack. Please note that your package reflects the number of sessions trained each week (1 session per week is a 4-pack, 2 sessions per week is an 8-pack, and 3 sessions per week is a 12-pack). 

We'll use an example to illustrate. Let's say you train 2x per week. As mentioned above, your 8-session package will renew when you have 2 remaining sessions (or after your 6th completed session).

Always know that the renewal is NOT based on time....only the number of sessions (sometimes packages last longer because of personal and professional obligations, and I try to accommodate this). For example, you’ve trained 4 out of the 8 sessions of your package and then decide to vacation in Italy without your trainer for 2 months. Although your training experience will now be extended longer, you won’t be charged until you reach the last 25% of your package.

Why does my personal training package renew before its end?

In the event you discontinue, this process allows for the appropriate time to transition your departure smoothly and provides proper notice to book your replacement. Considering that my clients depend on guaranteed slots weekly (even when they are on vacation), this approach is the best way to minimize large gaps, control the costs of sessions, and allow for schedule flexibility for all my clients.


What if I decide to discontinue or change the number of personal training sessions I train weekly?

When 1, 2, or 3 sessions remain on your account (depending on your package), I'll send you an email renewal notice regarding the end of your current package. At that point, you can quickly reply with “Discontinue” if you choose to stop personal training or change the package. Please note that you must notify me within a week of the renewal and before the start of the new package to be eligible for the refund.

What if my computer were hijacked and I couldn’t respond before the renewal?

This isn't a club gym experience. You don't need a letter from a relative or give blood to receive your refund. If you wish to discontinue, I'll gladly refund the money once you notify me. Please note that to be eligible for a refund, you must inform me within one week of the renewal and before the start of the new package.

Why is the renewal automatic?

To minimize errors and reduce administrative time, my trusted and secure software provides the option to eliminate the human element from the transaction. It'll also free more time for clients’ programs. Finally, it’s less work for the client!

Renewal Policy Summary

You’ll receive an email renewal alert when you reach the remaining 25% of your current package (1, 2, or 3 sessions left, depending on the package). If you wish not to continue, please reply with “Discontinue”. If you love the experience and don’t want to leave, don’t do anything! Your new package will automatically renew on that day.

If you have a change of heart after your credit card is charged (but within a week and before the new package begins), I'll refund your payment via check, Venmo, or Zelle in a timely manner (to avoid additional credit card fees).

Session Cancellation Policy Reminder

The fine legal print: The personal training client must notify their respective trainer of a cancellation by 2 a.m. the morning of the scheduled session. The client may have the option to reschedule for another day and time within that week only (Monday through Friday), but availability isn't guaranteed and is at the discretion of the personal trainer. Basically, the client will be charged for the canceled session if a slot isn't available in the trainer's schedule. In summary, if the client doesn't follow these procedures, the session at hand will still be charged as used. The preference is always your presence, though!

The translation: I don't overbook my weeks like most trainers and have built a scheduling system to allow the most flexibility for the fluctuating personal and professional lives of my clients (e.g., corporate meetings, work trips, family vacations, medical appointments, etc.). With this being said, the scheduling policy is in place to protect this flexibility and, most importantly, encourage habits that will lead to incredible health and fitness success. It's also guaranteeing a slot for you each week (so that you don't need to arm-wrestle other clients for your desired spot). I appreciate your understanding and support!
